OP-B-1   FACILITIES ADMINISTRATION

BUILDING SERVICES

OBJECTIVE
The purpose of this procedure is to describe the services available through Building Services and to specify the procedures for requesting those services.

OVERVIEW
The Building Services Section of the Facilities Operations and Maintenance (FO&M) Department provides housekeeping and special event support services for the administrative and academic functions of the University being supported by Educational and General (E&G) funding. Support is provided on a limited and cost reimbursable basis for events staged by organizations whose functions do not meet the above criteria when specifically approved by the Vice President of Finance and Administration. Support is not provided for any function or event operated for personal or private gain whether it is or is not staged on University property.

A. HOUSEKEEPING SERVICES
All space identified as E&G space is routinely cleaned once per day, five days per week. The scheduling of cleaning activities is dependent upon the nature of activities being conducted by organizations within the building being serviced. Heavily used classroom buildings are cleaned on the 11:00 P.M. to 7:00 A.M. shift and heavily used administrative buildings are cleaned on the 4:00 P.M. to 12:30 A.M. shift. The remaining academic and administrative buildings are routinely cleaned on the 5:00 A.M. to 1:30 P.M. shift. Except for the policing and restocking of restrooms in Libraries and special event support, no custodial services are provided from 12:30 A.M., Saturday until 11:00 P.M. Sunday or on holidays. Requests for extraordinary one-time services such as emptying of overflowing trash cans, cleanup of spills or restocking of restroom supplies should be made by calling the FO&M Service Center at 644-2424.

B. SPECIAL EVENTS SUPPORT
Special event support is routinely provided free of charge for official university events sponsored by administrative or academic organizations assigned to and occupying space identified as E&G funded space. Requests for events to be supported without charge must be sanctioned by an appropriate Dean, Director, Department Head or higher level authority. Requests for special event support should be made by calling the FO&M Service Center at 644-2424.

Special event support may be provided for events sponsored by university agencies and auxiliaries, Student Life and Student Residency and non-university entities in space identified as E&G funded space on a limited, cost reimbursable basis. Requests for such support should be made by calling the FO&M Service Center at 644-2424. Requests for support of the event without charge must be made in writing to the Assistant Vice President for Facilities Operations and Maintenance. The written request must cite the benefit to Florida State University.

The following special event support services are provided:

  • Cleanup and removal of trash.
  • Setup and take down of speaker's platform, lectern, U.S. flags, dignitary seating, folding tables and chairs.

Under certain conditions, the University will allow other governmental and non-profit public organizations in the local area to borrow tables and chairs for their official events. These conditions include:

  • The use of tables and chairs is subject to availability. Firm commitments cannot be made until 3 workdays prior to the desired pickup and use date.
  • The use period, which includes pick up and return cannot exceed 3 workdays.
  • The organization must provide its own resources to pick up and return the tables and chairs.
  • The organization shall be financially responsible for the loss and/or damage of any item.
